DescriptionListed below are some important facts about Folder Sync synchronizations and how items will be affected by the sync process.
- When using Folder Sync (FS), a mailbox can have Selected set to True or False for the synchronization, however this does not disable Folder Sync for any user/mailbox. If FS needs to be removed/disabled for any user, kindly contact Arctera Support.
- When Folder Sync is disabled for any user, the folder structure becomes unavailable in Personal Archive (PA). Disabling does not delete the folder structure, it only hides it.
- Deselecting a mailbox from scheduled sync will not remove the folder structure and will not reduce the license count. The Folder structure will be visible, until the time of the last sync. New folder/email alignment will not occur.
- Folder Sync can map an email to a folder as long as the email exists in both the mailbox and the archive, and the message ID of the email matches.
- If an email is moved from one folder to another, the same will be updated in the PA folder structure upon the next synchronization.
- If an email is deleted from Outlook, the same will be synchronized and the email will appear in the Deleted Items section of PA. This requires Process Deleted Items Folder to checked in the FS configuration.
- Folder Sync can only track soft deleted items & folders and synchronize them accordingly. If an email or a folder is hard(permanently) deleted, FS will not synchronize this activity and leave those items where they were in the users folder structure.
- If an email is hard deleted from Outlook, then the email is restored and moved to any other folder, this email will not get mapped to the new folder in PA, as the restored email is excluded at the time of archiving by a duplicate item check.
- If an email is sent by a user from the PA portal, a copy of this email is sent to the users Outlook and shows in the Inbox. This email will show up in the Outgoing section in PA, it will be mapped against the Inbox by FS, unless it is moved elsewhere.
