Pre-Requisite

From within the Admin portal Configuration > User Management section:

When using both CloudLink and O365 sync, the only provisioning method that should be used for O365 sync is to Provision Distribution Lists.  During initial setup there will be no distribution lists available to choose when selecting Specify Lists.  

To populate the Distribution Groups, a Run Now will need to be performed on the O365 sync.  Ensure that the Archive Provisioning method is Provision Distribution Lists/Provision Dynamic Distribution Lists, before performing a Run Now.  Once the initial sync is complete the specific Distribution List (DL)/Dynamic Distribution List (DDL) to be synchronized should be selected. 

All members that are part of the DL/DDL specified to sync will have a Arctera Unified Platform account created if one does not already exist. The following is seen under Archive Collectors > Exchange Online management within the Provisioning and Configuration section.

Journaling

This is a fairly straightforward setup.  Journaling should be enabled for both on premises Exchange  and O365 environments. It is recommend that journaling be setup prior to migrating any mailboxes to O365. This ensures that there are no gaps in archived emails.

User Sync

As a preamble to user sync in hybrid: user synchronization from Exchange on premises and O365 are supported.  Currently, there is not a solution that will do both.  User sync from on-prem Exchange is done by CloudLink.  CloudLink software is located on the Download site. 

O365 user sync needs to be configured. It is highly recommended to setup sync using a Distribution List to avoid unwanted users being synced and possible overage charges.  At this point synchronization will occur for users both on premises and in O365.  There is a caveat to this situation, in that the 2 synchronization tools (CloudLink and O365 Sync) are not aware of each other.  (There are plans to address this in a future release.) 
 
When a mailbox is migrated to O365 it will fall out of scope of the synchronization task(s) in CloudLink and into the scope of the O365 Sync.  The mailbox GUID does not need to be updated as this is automatically handled after the mailbox is migrated from Exchange On Premise to O365.

Note: The Primary SMTP address of the user being migrated must match the current primary address in Arctera Unified Platform in order for sync to work properly.  If an account is changed to a new primary address prior to the sync a new archive will be created for that address/GUID combination.  

It is also necessary to have matching UserPrincipalName (UPN) and Primary SMTP address to ensure that users that are unlicensed or deleted are successfully disabled by O365 sync.

Once all Exchange On Premise users are migrated to O365, the CloudLink server can be decommissioned by uninstalling the ArchiveTools CloudLink application, or simply disabling the ArchiveTools CloudLink Server service.
